Subject: Fleet Reports on Fuel and Maintenance

Information Memo
In accordance with the City's Budget Performance Goals, Public Works Operations has
implemented a monthly maintenance management tracking system in fleet to monitor
crew time and costs for the City's vast inventory of equipment.
The City has been capturing fleet data metrics in the Public Works Fleet Department
since January 1, 2005. We now have several years' worth of consistent data to
illustrate what we expect to spend and how many FTEs (Full Time Employees) it will
take to maintain the fleet. The current number of active fleet inventory items that are
being serviced in our George Long Maintenance Shop is 378.
SPECIAL NOTE: The production metrics in the Powerpoint presentation are 2007
figures.
This presentation demonstrates what we look at for fuel consumption, cost and tech
time by department, and the preventative maintenance graph. It is a very useful
decision tool and allows us to accurately portray what each depai talent needs in their
budget to maintain fleet. The fuel also revealed more than we anticipate as the rising
costs did not just mean higher gas prices but higher volumes used across the board.
