review the utilities shown on the basemap for project understanding and look for information that <br />may be missing or incomplete. <br />Deliverable(s) <br />• Correspondence via e-mail to the CITY highlighting utilities that may need to be relocated <br />due to the project impacts <br />Subtask 7.2 Utility Coordination Meetings <br />The CONSULTANT will coordinate and conduct quarterly utility meetings. These will be <br />meetings for all those affected utilities. The CONSULTANT shall prepare meeting notes for <br />each meeting held and send them to the CITY for review before sending them to the utility <br />companies in attendance. <br />It is assumed the respective utility owners will provide timely concurrence on relocation plans <br />for all utilities and will provide design of the relocation to the CITY and CONSULTANT. The <br />CONSULTANT shall assist the CITY in preparing any necessary agreements by providing a <br />memorandum documenting proposed relocation plans and including meeting minutes and other <br />correspondence generated by the utility coordination effort. <br />Assumptions(s) <br />• The CONSULTANT will be responsible for contacting all the utility companies within the <br />corridor limits for the initial design kickoff meeting. <br />• The CONSULTANT will coordinate and conduct quarterly utility meetings that will include <br />all the utility purveyors. <br />• The CONSULTANT will have a staff member that communicates directly with the utility <br />companies via phone and e-mails and/or prepares exhibits and other necessary functions <br />related to utility coordination efforts that averages four (4) hours per month for nine (9) <br />months. <br />• Respective utility companies will provide timely concurrence on relocation plans for all <br />utilities and will provide their relocation design plans to the CITY and the CONSULTANT <br />in a timely manner for any relocation work. <br />Deliverable(s) <br />• Meeting notes for all utility meetings held, including the kick-off meeting and subsequent <br />quarterly meetings specific to the project <br />• Consolidated review comments received from the utilities (Excel electronic format) <br />Subtask 7.3 Utility Potholing Plan <br />The CONSULTANT shall prepare a utility potholing plan for those utilities that will need <br />additional subsurface investigations performed to verify the elevation of existing utility lines for <br />proposed utility crossings. The CONSULTANT shall identify each pothole location with a <br />unique identification number for each utility needed.
